Final settlements and exit payrolls are among the most sensitive and complex parts of HR and payroll operations. When an employee exits the organization, whether voluntarily or otherwise, it is critical to ensure a transparent, timely, and compliant settlement process.
Our Final Settlements & Exit Payroll module ensures that all dues including unpaid salary, bonuses, earned leave encashments, gratuity, incentives, notice pay, loan recoveries, and statutory deductions are calculated with absolute accuracy. This reduces disputes and ensures a smooth exit experience for the employee.
The system allows HR and payroll teams to generate pro-rata salary based on last working date, calculate leave balances for encashment, adjust loan or advance recovery amounts, and apply relevant tax deductions such as TDS. Everything is automated and follows the configured rules of the organization.
Once the exit checklist is approved and verified, the full and final settlement (F&F) statement is generated, showing a detailed breakdown of earnings and deductions. This ensures compliance with internal policies as well as labor regulations.
Exit payroll also integrates with asset return status, compliance clearance, and resignation approval workflows to ensure that no critical step is missed. It acts as a centralized system for tracking the full exit lifecycle of the employee.
The entire process is digitized, eliminating manual intervention, delays, or miscalculations ultimately saving HR teams time and avoiding potential legal issues.
We don’t believe in one-size-fits-all auditing. At Pawan Lohia & Associates, every Risk-Based Internal Audit begins with an in-depth understanding of your business model, industry dynamics, and regulatory exposure. Our team collaborates closely with your internal stakeholders to prioritize risk areas, define scope, and execute detailed audits with a strategic lens.
Final settlement includes the calculation and disbursement of all dues payable to an employee at the time of exit. This typically includes unpaid salary, leave encashment, gratuity, bonuses, reimbursement claims, and adjustment of loans or advances. It also includes applicable deductions like tax, PF, and other compliance-related deductions.
The system calculates pro-rata salary based on the number of days worked in the final month. If the employee worked 15 days, they’ll be paid half of their monthly salary, adjusted for any deductions. The calculation is automatic and accurate.
Any outstanding amount from loans or salary advances is automatically deducted from the final payable amount. If the balance is higher than dues payable, the system will flag it for further approval or recovery measures.
You can configure an exit checklist that includes asset return status. Final settlement is only processed once IT, admin, and finance departments mark their items as cleared. This ensures no dues are missed or released prematurely.
As per industry best practices and local labor laws, final settlements should typically be completed within 30 days of the employee’s last working day. Our automation ensures it can be processed in just a few days, once clearances are complete.
